ATV Rental Policy

This policy outlines the terms and conditions governing the rental of all-terrain vehicles (ATVs) and utility task vehicles (UTVs) from Vancouver Outdoor Adventures. By renting a vehicle, the renter agrees to abide by the provisions stated below.

1. Eligibility Requirements

To rent a Vehicle from the Company, the renter must:

  • Be at least 25 years of age;
  • Possess a valid driver’s license issued by a recognized authority
  • Present a valid credit card for the security deposit;
  • Sign a rental agreement and waiver form prior to the commencement of the rental period.

All individuals intending to operate the Vehicle must independently meet the above requirements. Unauthorized drivers are strictly prohibited.

2. Cancellation and Refund Policy

The Company processes all payments through Stripe, which applies a non-refundable processing fee of 3% plus $0.30 per transaction. This fee will be withheld from any applicable refunds.

The following refund structure applies to cancellations:

  • More than 7 days before the scheduled rental date: 100% refund (minus processing fees)
  • 48 to 72 hours before the scheduled rental date: 80% refund (minus processing fees)
  • 24 to 48 hours before the scheduled rental date: 50% refund (minus processing fees)
  • Less than 24 hours before the scheduled rental date: No refund will be issued

All cancellations must be submitted in writing via email or confirmed by phone.

3. Cleaning and Maintenance

All Vehicles are provided in a clean condition. The renter is responsible for returning the Vehicle in a similarly clean state.

  • If the Vehicle is returned unwashed, a cleaning surcharge of $80 will be applied.
  • If the Vehicle is returned with excessive mud, debris, or buildup, a deep-cleaning surcharge of $150 will be applied.

4. Fuel Policy

All Vehicles are provided with a full tank of premium-grade gasoline. The renter is required to return the Vehicle with a full tank of premium fuel. If the Vehicle is returned with less than a full tank, the Company will refuel it and charge the renter at a rate of $3.00 per litre.

5. Mileage Allowance and Overages

Each rental includes a daily mileage allowance of 100 kilometres per day. Any mileage exceeding the allowance will be charged at a rate of $2.00 per kilometre.

6. Damage Deposit

A mandatory $2000 refundable damage deposit is required for all rentals.

  • For credit card deposits: The deposit will be returned within 5 to 10 business days, pending vehicle inspection.
  • For cash deposits: The deposit will be returned the same day, provided the Vehicle is returned before 7:00 PM. For returns after 7:00 PM, the deposit will be returned the following day.

7. Driver Waivers and Authorization

Each individual who will operate a Vehicle must:

  • Present a valid driver’s license at the time of rental;
  • Sign a separate waiver form for each Vehicle being operated.

No person can drive a vehicle without presenting valid identification and signing the waiver.

8. Geographic Use Restrictions

Vehicles may only be operated within 500 kilometres of the original rental location and must remain within the territorial boundaries of Canada. Cross-border use is strictly prohibited.

9. Permitted Usage

Vehicles may only be used on designated trails and approved off-road areas. Operation of Vehicles on public roads or highways is strictly prohibited.

10. Accidents and Mechanical Failures

In the event of an accident or mechanical breakdown, the renter must:

  • Ensure the immediate safety of all individuals involved;
  • Contact the Company without delay;
  • Complete an incident report upon return of the Vehicle.

The renter is required to cooperate fully with any insurance or law enforcement investigations, if applicable.

11. Passenger Restrictions

Passengers must be at least 8 years of age and physically capable of wearing a DOT-approved helmet securely. The Company reserves the right to refuse rental based on concerns related to passenger safety or suitability.

12. Impaired Driving

Under the Motor Vehicle Act of British Columbia and the Criminal Code of Canada, it is unlawful to operate any motorized vehicle, including ATVs and UTVs, while impaired by alcohol, cannabis, or other substances. This prohibition applies regardless of location, including trails, Crown land, and private property.

Violations may result in:

  • Criminal prosecution by authorities;
  • Vehicle impoundment by authorities;
  • Revocation of rental privileges;
  • Forfeiture of any deposits or payments made.

13. Optional Equipment Damage Protection

The renter may purchase Optional Equipment Damage Protection at $200 per day. This coverage includes:

  • Tire punctures;
  • Cracked or chipped windshields;
  • Minor cosmetic damage from standard recreational use.

This protection does not cover incidents involving:

  • Collisions;
  • Rollovers;
  • Theft;
  • Vandalism;
  • Misuse or negligent operation;
  • Vehicle recovery;

14. Prohibited Use and Termination of Agreement

Vehicles must be used solely for recreational and leisure purposes. The following are strictly prohibited:

  • Racing or stunt driving;
  • Reckless or aggressive operation;
  • Use in unauthorized terrain or conditions;
  • Towing or hauling heavy objects.

The company reserves the right to terminate the rental agreement without refund, and to retain or apply the damage deposit, if the renter or any driver engages in prohibited activities. The renter will be held financially liable for all damages resulting from improper use.

15. Rental Timing

  • Recommended Pickup: We suggest picking up your ATV at 8:00 AM on the day of use for maximum enjoyment.
  • Flexible Evening Pickup: You may also pick up the ATV the evening prior to your rental, if it falls within your rental term. Please confirm availability in advance.
  • Return Time: All ATVs must be returned by 6:00 PM on the final day of the rental unless otherwise arranged.
  • Return Buffer: A 2-hour grace period is available if additional time is needed—please notify us in advance to avoid late fees.
